Admin Assistants (2 temporary posts)


Under the general authority of the Head, UNESCO Hanoi and reporting directly to the Administrative Assistant, the incumbent shall perform the following duties:

* Operates the telephone switchboard, answering the phone, taking and passing messages.
* Attends to general visitor’s enquiries and answer basic enquiries by tel./mail/ in person.
* Secures visas and make all travel arrangements and logistics for missions.
* Drafts simple correspondence, emails, faxes, and reports as required.
* Manages the dispatch and receipt of incoming and outgoing diplomatic pouches and express delivery for UNESCO which include identifying of documents, sorting of parcel/mail and coding for references in addition to routing of correspondence on the day of arrival.
* Verifies calculations on requests for payment for mathematical corrrectness and complaince to rules, procedures and contract terms. Recommends payment and undertakes coding and enters associated data in the financial system (manually and/or automated).
* Assists in the production of a variety of administrative and statistics reports of administative plans, budgets, vouchers, and reports (estimates, budgets, justifications, etc.), and alterts supervisor of reporting errors/ommissions, searches for the cause of variances, and undertakes corrective action, as directed.
* Provides information to management and staff on the administrative/financial/budgetary rules and procedures. Seeks assistanve from supervisor in the case of more complex issue/problems for direction/action.
* Performs other duties as assigned.


* University degree or equivalent.
* Good knowledge of English.
* 5 years of practical experience in a government office or a private firm.
* Clerical training, some knowledge of accounting principles, some training in administration is an asset.
* Ability to draft administrative or routine correspondence.
* Excellent computer/word processing skills.
* Excellent interpersonal and communications skills.
* Be tactful, accommodating, flexible and diplomatic.
* Have high standards of personal integrity.


This is a temporary position (max of 11 months) with the gross salary is US$ 500.00 per month

Languages required: Native speaker of Vietnamese and excellent knowledge of English. Working knowledge of French would be an asset.
