USAID’s Avian and Pandemic Influenza Initiative, implemented by Abt Associates, aims to strengthen Vietnam’s public and private capacities to prevent, rapidly detect, and respond to avian and pandemic influenza and other emerging infectious diseases.

The project is now recruiting a Finance / Administrative Assistant for the office in Hanoi.

Responsibilities:

• Help prepare financial reports to the US Head Office; collect invoices and prepare vouchers and supporting documents

• Prepare letters, documents, and correspondence

• Provide interpretation/translation services from time to time

• Manage domestic/ international travel arrangements for staff and consultants and process required travel authorizations

• Provide meeting/workshop logistic support

• General filing and archive management

• Coordinate distribution of internal and external mails and faxes

• Act as phone operator and welcome guests to the office

• Keep track of office supplies and stationary and prepare purchases

• Support procurement of office supply and equipment

• Assist in inventory checking and update

• Help track staff leave records

• Assist in project close out (expected before year end, unless project is extended)

• Assist in Management Information System (MIS)

• Manage and maintain the calendar/working schedule for Project Director

• Other tasks agreed with the supervisors.

Qualifications:

• College/University degree in a relevant field such as office administration or English

• At least two years of relevant work experience in administrative support

• Fluency in both written and spoken English

• A good command of common computer applications

• Experience on other international development projects is highly desirable.
